Job Purpose
As a member of the HR Service Centre Team maintain efficient and effective on time and in full management of expatriate information and the physical movement of assignees In / Out of the East & Central Africa Area in accordance with Global Policy and Guidelines.
The role also supports the provision of data for Salary Surveys, Total Cost of Employment and plays a key role during the bonus and salary increase process, aiming at the application of HR processes and policies which enable the business drive superior
Key Deliverables:
• To act as the contact for all assignees or expatriates transferring into/out of Kenya and East & Central Africa Area office, assisting in any issues arising at the time of transfer in and out, as well as providing on-going support/ advice for the duration of the assignment
• Maintain expatriate reward information – generate balance sheet information for incoming and outgoing expatriates. Record all relevant information, such as cost of living index, COL dates and thresholds for adjustments, exchange rates, increase dates and increase amounts
• Co-ordinate expatriate documentation (assignment letters, intercompany agreements) as well as conduct Expatriate induction (including start off kit – e.g. opening bank accounts, who to contact, security brief, etc.)
• In liaison with Procurement, negotiate competitive fee structures with third parties while maintaining required service standards. Service Providers include those for immigration documentation – (work permit/dependant passes), provision of utilities, internet, housing, etc.
• Act as an ‘expert’ advisor, giving support, solutions and advice to all functions on all matters related to local policies and Global international assignments policies.
• Trigger payroll related changes for expatriates with the Payroll Executive and take responsibility for expatriate Taxation compliance/annual tax returns
• Manage the day to day medical administration for both expatriate and local staff in Kenya & the East and Central Africa Area office – participate in the medical provider sourcing, management of the medical contract through regular reviews and monitory, accountability on the part of the medical provider in line with the contractual items
• Support Reward during annual salary increments and bonuses by providing accurate and real time data as well as Total Cost of Employment. This includes preparation of the annual bonus and salary increase templates for East and Central Africa Area markets
• Provision of bulk salary and bonus letters for East and Central Africa Area markets both for management and non-management within the specified time frame
Requirements;
• At least a relevant business degree.
• 1-3 years working experience preferably in HR.
• Customer service oriented mind set.
• Ability to work with cross functional teams.
• Ability to explore various options when resolving issues so as to achieve service quality improvement, which in turn will lead to improved overall customer satisfaction.
Desirable requirements;
• The Role of HRSS Centre – Reward Assistant is based in Kenya, the Hub of the East and Central Africa Area.
• The role is responsible for providing support for all Reward related issues in the Area across different countries.
